Sometimes, there may be a situation, when you decide to write a letter to the editor. May be you are so passionate about the new political developments in your country or you want to keep the record straight. Whatever the reasons are. the letter to the editor is a great way to interact with the editors and in the meanwhile, it helps you bring certain matters under attention of the editors.  There may be many other reasons, why you are intending to write a letter to the editor. Similarly, there would also have many benefits of writing a letter to the editor and here we are going to talk about them one by one and we will end up with the generally accepted format of the letter to the editor. Which, you can freely use for this purpose.

Letter to the editor have their own significant importance. The media of today always intend to run the story, which may be of public interests. Therefore, letter to the editor is an important tool for the media to determine the popularity of the certain news story. Similarly, using letters to the editors, you can convey your voice to the rest of the community members. It is, however, not always possible that your letter win attention of the editor and thus selected for the publication. But, many letters on similar topic give the editors, the motivation to publish at least one of the them and this way, even if your letter is not selected for publication, you somehow manage successfully to convey your voice to the editors and to the general public as well.

Letter to editor is also a very good weapon in the hands of the general public to let the media know about their grievances about any news story published or aired in the print or electronic media. Thus, if significant amount of people write a similar letter to the editor, informing them their point of view about the event. It can force the media to change their policies and re-constitute their policies according to the wishes of the people. This is always a characteristic of a healthy society that it retaliates in a civilised manner against any un-healthy and un-constructive activity, which logged. Therefore, if you want to know, whether your society is dead or alive, simply ask the editors that how many letters they receive in a day.

One other important use of letters to the editors is when you need to keep the record straight. For example, when you see the article or a news story in the media, which you think is misrepresent the facts and figures. You may, infect you should write a letter to the particular editor, letting him know the actual facts and figures and in such situation never forget to express your grievances but, in a civilised manner.

The letters to the editors could also be used to generate coverage of the certain issues. Similarly, these letters could also be used to comment on legislations, which have just arrived from the legislative institutions. It allows people to give their vote in favour or against these laws and this way, the government also understand easily, the intentions and will of the people and do not indulge into what could not be accepted by the people of the country.

By the way, the letters to the editors become a handy tool for the propagandists, who comfortably send letters to the editors with fake identities and addresses. Especially over the internet, where nobody knows, who is who. The interest seekers, the propagandists find it very easy for themselves to address the editors with anonymous names and addresses. For this reasons the editors are supposed to be smart enough to filter out the letters send by such tattoos.

The next question is that how to write a letter to the editor? What should be the format of these letters and how should they be delivered to the editors? Almost all newspapers and TV Channels somehow give contact information for this purpose along with instruction, if they have any. Different entities set up different requirements for you. However, generally the format of the letter to the editor is fairly simply and it needs no extensive formatting.

First of all, if your letter is hand written then your hand writing should be good enough. So that the editors find no difficulty to read it. By the way, sending hand written letters to the editors is become an old culture and the popular way is to send the letters in electronic format. Whatever, way you choose. The letter should start with the date and then it is a good practice to write the name of the newspaper, along with their fax and/or email address. However, when you intend to send the same letter to many different editors, you can comfortably remove newspaper related details.

In the next line, always mention that what this letter is about. Then in the next line, write the words “Dear Editor,” and in the next line you can start writing your case, which you are intending to bring under attention of the editor.

Always choose the topic carefully and try to stay on topic. No off topic contents, remember. First of all, write one or two lines about the matter of your interest in the issue and state the purpose of your letter and then explain the purpose of the letter. After that use two or, at maximum, three line to give any background information. After this, use another two or three lines to explain your opinion on the issue and then in the last, use two or three line to give solution to the problem and encourage editors and others to take actions.

After writing down the body of your letter. Write “Sincerely,” and then, in the next few lines write your name & title and your contact details, which will contain your correspondence address, Phone number, email addresses and any other contact information, which you think is necessary.

Letter to Editor is a useful resource, which could be used to make your voice or bring some issue under public attention. When you write a letter to editor. Make sure that it is as short as possible. As the editors would have not enough time to read it and also, it would be difficult for them to publish a long letter in the newspaper. However, for publication over Internet. This is not considerable issue. Slightly long letters could also be selected to publish over Internet.
